Building a Calendar System That Doesn't Overwhelm You

A calendar with every hour color-coded and every slot filled looks impressive in a screenshot. In practice, it's fragile — one late meeting and the whole day collapses.

Leave room on purpose

The single highest-leverage change you can make to your calendar is to stop filling it completely. Block 20% of your day as unscheduled buffer. It absorbs the inevitable overruns, the urgent Slack message, the fifteen-minute task that becomes forty-five.

Group similar work together

Context-switching between a design review, a customer call, and deep coding work costs you more time than the tasks themselves. Batch similar work into blocks — calls in the morning, focused work in the afternoon, admin at the end of the day.

Calendria's day view is built around this idea: instead of showing every event as equally important, it visually groups blocks by type so you can see the shape of your day at a glance, not just a list of times.

Review tomorrow, tonight

Two minutes before you close your laptop, look at tomorrow's calendar. You'll catch scheduling conflicts while you can still fix them, and you'll start the next day already knowing your first move.
