# Time Blocking 101: Turning Your Calendar Into a Productivity Engine

Time blocking has a reputation problem. Done rigidly — every minute scheduled, no slack — it collapses the first time a meeting runs long. Done loosely, it's just a to-do list with timestamps. The useful version sits in between.

## Block themes, not tasks

Instead of scheduling "reply to emails 9:00–9:15, write report 9:15–10:30, call with Sam 10:30–11:00," block larger themes: "admin" from 9:00–9:30, "deep work" from 9:30–11:30. Themes are flexible enough to absorb the small surprises a real day always has.

## Protect one deep work block a day

You don't need every block to be sacred — you need one. Pick your highest-energy hour, block it for your most important work, and treat it the same way you'd treat a client meeting: not moved, not double-booked.

In Calendria, deep work blocks can be marked as protected, which mutes notifications and greys out that slot when you try to schedule something else over it — a small nudge that makes the habit easier to keep.

## Expect to rebuild it weekly

A time-blocked calendar isn't something you build once. Rebuild it every Sunday for the week ahead — ten minutes, informed by how last week actually went, not how you hoped it would go.
